MAJOR DUTIES AND RESPONSIBILITIES
? Check the content of the receiving documents against the transmittal list. Acknowledge the receipt of the
document and report any discrepancy in the transmittal Record it in the database/document register.
? Liaise with Team, Consultants, and contractors effectively and resolve problems and issues relating to
documentation.
? Maintain a document filing system to enable rapid access of all company documents and correspondence.
? Maintain up to date Register showing Company document details for all departments.
? Segregate the documents as project vise and file scanned copy and hard copy to the respective folder.
? Ensure safekeeping and maintenance of Company’s documents in the archive store.
? Register Correspondences, Contract documents, Payment Certificates, Variation Order and Site Instructions
? Track, update the status, and follow up submittals, Safety Reports, RFC's, Progress Reports, Contract Issues,
and Drawings for Real Estate department.
? Monitor receipt of drawings and carry out quality checks of drawings and return to Consultant/Contractor.
? Ensure the distribution for allocating documents via e-mail as well as hard copy for the authorized person
of each department.
? Move documents to archive section upon completion of the respective project after ensuring availability of
softcopy of each required document of the project in the server.
? Comply with project submittal protocol and document numbering system for every project as required, in
coordination with concerned departments.
? Respond in a timely manner to requests to retrieve information, information searches and general
requests for support from Staff.
? Custodian of Company’s corporate documents such as POA, AOA, MOA, Share allocation agreements.
Trade Licenses/ Chamber Certificates, Plot plans, Site Plan of all properties, Specimen Signature, and
Authorization letters, Sale & Purchase agreements, All types of Guarantees such as Advance payment,
Tender Bonds, Performance bonds and insurance etc.
? Trace documents expiry dates and follow-up with the concerned department for renewal.
? Responsible for coordinating all departments of the company in order to assure that all documents are kept
in the right place and in the right department file archive.
QUALIFICATIONS
? Degree qualified: Bachelor Degree or equivalent in a related field;
SKILLS
? Minimum 5 years of UAE experience as a Document Controller in Construction industry at Consultant/Client
office
? Extensive knowledge and experience in document control from the project initiation to close out phases.
? Knowledgeable of document control work processes and utilization of electronic systems for document
management, as well as corporate procedures related to document management.
? Must be able to communicate confidently in both written and spoken English & Arabic.
? High level of computer literacy, especially in MS Office.
